Quick answer

A stock certificate for an FMCG distributor is a CA-signed statement of saleable stock, damaged and expired goods, retailer debtors and claims receivable from companies on a date. Distributors and super-stockists use it for bank CC/OD drawing power, limit renewals and GST ITC-01 claims above ₹2 lakh.

what's different here

Scheme claims, damages and fast-moving stock

An FMCG distributor's balance sheet has an item most other businesses don't: claims receivable from the company for schemes, discounts, damages and price changes. Banks usually treat these differently from retailer debtors, and some exclude them altogether. We list scheme claims separately with their age, so the bank sees true trade debtors, and long-pending claims don't inflate drawing power.

Stock quality matters too. Near-expiry products, damaged cartons and market returns awaiting company pickup all sit in the godown. We separate saleable stock from damages and expiry, value each at what the company is likely to credit, and reconcile stock with your distributor management system and Tally. Fast-moving stock makes monthly statements drift quickly, so timely certification matters more here than in most trades.

questions

Frequently Asked Questions

They are shown, but separately from retailer debtors. Some banks accept claims within a set age; others exclude them entirely. Listing them clearly with dates lets the bank apply its rule, and avoids a stock auditor reclassifying them later and cutting drawing power.
Separately, at the value the company is expected to credit under its damage and expiry policy, which can be full, partial or nil. Only saleable, in-date stock goes into the main stock figure the bank applies its margin to. Damages awaiting pickup are listed with their expected pickup date.
Yes. We summarise stock brand-wise or company-wise from your DMS or Tally and show claims receivable company-wise. Share the reports and the bank's format online; we send a draft and then the signed certificate with UDIN. Godown visits, if the bank asks, are quoted separately.
A practising Chartered Accountant. SVT & Associates is a firm of Chartered Accountants in Goregaon West, Mumbai, and certificates are reviewed and signed by CA Rinky Vishwakarma, FCA, ICAI membership number 177507. Each certificate is on firm letterhead with the CA's signature, membership number, stamp and a UDIN.
Yes. ICAI has made a Unique Document Identification Number mandatory on all certificates issued by Chartered Accountants since 1 February 2019. Your bank, the GST officer or an insurer can check the UDIN at udin.icai.org, which shows the signing CA's name and membership number and confirms the document is genuine.
The standard fee is ₹1,999 plus GST for one location and one statement date, with books up to date. Urgent same-day certification is ₹2,999 plus GST, and monthly bank statements on a yearly retainer are ₹1,499 plus GST per statement. There is no government fee. Physical verification and multi-location cases are quoted in writing before work starts.
Usually one working day after we receive complete documents, if your stock register or Tally data is up to date. Urgent cases can be signed the same day. Manual records, several godowns or a physical count take longer, and we tell you the timeline before you pay.
No. You ask for a stock certificate yourself, and it confirms your stock position on a date. A stock audit is appointed and paid for by the bank, usually from its own panel, and includes a physical count and review. We can help you prepare for a stock audit, but the bank chooses the auditor.
At the lower of cost and net realisable value, as Accounting Standard AS 2 and Ind AS 2 require. Valuing stock at selling price is one of the most common reasons a bank's stock auditor cuts drawing power. The valuation basis is stated on every certificate we issue.
A stock register or Tally stock summary, purchase and sales registers for the period, a debtors ageing list, a list of unpaid creditors for goods, the bank's stock statement format and sanction letter, and the stock insurance policy. For GST ITC-01, purchase invoices with supplier GSTINs are also needed.
