Which Documents Does Your Accountant Need Every Month?

A small business should send its accountant sales invoices, purchase bills, bank and card statements, cash vouchers, payroll inputs, GST portal access and loan statements by the 5th of each month. Missing documents are the main cause of delayed returns and unmatched bank entries, so a fixed monthly checklist saves time and penalties.

The monthly set

Send everything by the 5th. Sales invoices or the sales register, purchase bills, expense vouchers and bank statements for every account are the core. Add credit card statements, payment-gateway reports and cash vouchers if you use them.

Add changes that affect compliance: new employees or leavers, new vendors with PAN details, new bank accounts or loans and any notice received from the tax authorities. Even a one-line email about each saves a query later.

The quarterly and annual set

Each quarter, share TDS certificates, bank interest certificates and stock and debtors lists if your bank asks for them. At year end, add the stock count, fixed-asset purchase invoices, loan confirmations and party balance confirmations.

Companies add board minutes, share-transfer records and statutory register updates. Keeping these in one folder through the year turns the audit from a hunt into a handover.

How to share them safely

Use a shared folder with one sub-folder per month, or send photos on WhatsApp for small volumes. Name files with the date and party. Avoid sending bank passwords or card numbers; statements and PDFs are enough.

We give each client a short written checklist after onboarding and a reminder on the 3rd of each month. A document trail kept this way also helps if the department asks for evidence years later.

FAQ

Frequently Asked Questions

What if I lost a purchase bill?

Ask the supplier for a duplicate invoice, which usually satisfies both the books and GST. If that is not possible, a payment proof and a signed statement may support the expense, but input credit generally needs the supplier invoice. We list lost bills in the query log for your decision.

Do I need to send original paper bills?

No. Clear scans or photos are enough for bookkeeping. Keep the originals for the period the law requires, which is generally several years. We can advise on the retention period for each type of record during onboarding. Large originals can be photographed page by page.

Can you collect documents from my accounting software directly?

Yes. If you use Tally, Zoho Books or another package, we can work from a backup or shared access, so you do not send each bill separately. Bank statements and anything outside the software still come to us as files.

Who prepares and signs the work?

SVT & Associates is an ICAI-registered Chartered Accountancy firm. Every account is supervised and reviewed by CA Rinky Vishwakarma, Fellow Chartered Accountant, ICAI Membership No. 177507. Where a certificate or attest report is issued, it is signed by a practising CA and carries a UDIN.

How quickly can you start?

After a short consultation and receipt of your documents, onboarding usually takes three to five working days, and the first monthly books are delivered within seven days of receiving complete data. If a filing deadline is close, we handle that first and then complete the wider setup.

Is my financial data confidential?

Yes. As a Chartered Accountancy firm we are bound by the ICAI Code of Ethics on professional confidentiality. Your records are accessed only by staff working on your account, are shared through controlled folders or your own software, and are never given to third parties without your written consent or a legal requirement.

Which accounting software do you work in?

We work in your existing software, whether Tally Prime, Tally ERP 9, Zoho Books, QuickBooks or Busy, so you do not need to switch. Your licence and data remain yours at all times, and a full export of your books is available whenever you ask for it.

Are your fees fixed, and are there hidden charges?

Fees are fixed and confirmed in writing after we review one sample month of your data. Our fee and GST are shown on separate lines, and accounting has no government fee. Work outside the agreed scope, such as a backlog clean-up, is priced separately and agreed with you before it begins.

Do you serve clients outside Mumbai?

Yes. Most of our work is delivered online across India, using shared folders, your accounting software, video calls and WhatsApp. Our office is in Goregaon West, Mumbai, where local clients can meet the CA in person, but no visit is needed to start or continue the service.

Can I stop the service if I am not satisfied?

Monthly plans are not locked in, and you can end the service by giving us notice. You will receive your books, reconciliations and working papers in an exportable form. The Refund Policy linked in the footer explains how any advance payment is treated.
