Bookkeeping vs Accounting vs Virtual CFO: What Is the Difference?

Bookkeeping records daily transactions. Accounting classifies, reconciles and reports them as financial statements and tax filings. A virtual CFO uses those reports to plan cash, budgets and funding. Small firms usually start with bookkeeping and monthly accounting, and add a virtual CFO when turnover, borrowing or fundraising makes forward planning essential.

Bookkeeping: the record

Bookkeeping is the discipline of entering every transaction in the right ledger, on time, with a document behind it. It answers the question what happened. Errors here, such as wrong heads or missing bills, flow into every later report.

A good bookkeeper is fast and accurate but does not usually interpret results or advise on tax. That is why a review by a CA matters even when the entries are right.

Accounting: the report and the compliance

Accounting takes the recorded entries, reconciles them to bank and party statements, makes year-end adjustments, prepares the balance sheet and profit and loss account, and supports tax and statutory filings. It answers the question what does it mean and what do we owe.

Monthly accounting adds the management view: a short MIS with comparisons. Annual accounting adds audit support, depreciation, provisions and the notes that the law requires for companies and LLPs.

Virtual CFO: the plan

A virtual CFO looks forward. The work covers budgets, thirteen-week cash forecasts, bank and investor discussions, pricing and hiring decisions, and board reporting. It answers the question what should we do next.

It is only as good as the numbers beneath it, which is why the CFO role sits on top of reliable monthly accounting and not in place of it.

FAQ

Frequently Asked Questions

Can one provider do all three roles?

Yes, and it often helps, because the same team sees the numbers from entry to forecast. We offer all three as separate plans, so you can start small and add a role when the business needs it, without changing the books or the people.

At what turnover should I add a virtual CFO?

There is no fixed line, but many businesses benefit when turnover passes Rs. 3 to 5 crore, or earlier when borrowing, fundraising or rapid growth makes cash planning difficult. Until then, a strong monthly MIS and a quarterly review often serve well.

Is an in-house accountant better than outsourcing?

It depends on volume. An in-house accountant suits high daily volumes, while outsourcing gives you a reviewing CA, leave cover and software knowledge for a fraction of a full salary. Many firms use an in-house clerk and an outsourced CA reviewer.

Who prepares and signs the work?

SVT & Associates is an ICAI-registered Chartered Accountancy firm. Every account is supervised and reviewed by CA Rinky Vishwakarma, Fellow Chartered Accountant, ICAI Membership No. 177507. Where a certificate or attest report is issued, it is signed by a practising CA and carries a UDIN.

How quickly can you start?

After a short consultation and receipt of your documents, onboarding usually takes three to five working days, and the first monthly books are delivered within seven days of receiving complete data. If a filing deadline is close, we handle that first and then complete the wider setup.

Is my financial data confidential?

Yes. As a Chartered Accountancy firm we are bound by the ICAI Code of Ethics on professional confidentiality. Your records are accessed only by staff working on your account, are shared through controlled folders or your own software, and are never given to third parties without your written consent or a legal requirement.

Which accounting software do you work in?

We work in your existing software, whether Tally Prime, Tally ERP 9, Zoho Books, QuickBooks or Busy, so you do not need to switch. Your licence and data remain yours at all times, and a full export of your books is available whenever you ask for it.

Are your fees fixed, and are there hidden charges?

Fees are fixed and confirmed in writing after we review one sample month of your data. Our fee and GST are shown on separate lines, and accounting has no government fee. Work outside the agreed scope, such as a backlog clean-up, is priced separately and agreed with you before it begins.

Do you serve clients outside Mumbai?

Yes. Most of our work is delivered online across India, using shared folders, your accounting software, video calls and WhatsApp. Our office is in Goregaon West, Mumbai, where local clients can meet the CA in person, but no visit is needed to start or continue the service.

Can I stop the service if I am not satisfied?

Monthly plans are not locked in, and you can end the service by giving us notice. You will receive your books, reconciliations and working papers in an exportable form. The Refund Policy linked in the footer explains how any advance payment is treated.
