An in-house accountant is useful when documents arrive all day, when physical bills must be sorted and when the owner wants someone nearby to answer quick questions. For retailers and restaurants with hundreds of daily entries, a trained clerk is often essential.
The risk is single-person dependence. If the person leaves or falls ill, entries stop and the file is hard for anyone else to read. Filings also depend on one person's knowledge of current rules.
Outsourcing gives a team: an entry operator, a reconciler and a reviewing CA. Leave cover is built in, software knowledge is shared and rules are updated centrally. The cost scales with volume instead of with a fixed salary.
The trade-off is distance. Documents must be shared on time, and urgent queries go by phone or message. Good providers fix response times in writing and keep a single point of contact.
Many growing businesses keep a junior clerk for daily vouchers and outsource reconciliation, review, GST, TDS, MIS and annual accounts to a CA firm. The clerk's work is checked monthly, and compliance does not depend on one person.
This model is also easy to change: if volume grows, the clerk team grows, and if it shrinks, the outsourced scope stays the same. It is the arrangement we see most often among clients with turnover between Rs. 2 and 20 crore.
| Factor | In-house accountant | Outsourced CA firm |

| Software skill | One person's | Team's, updated |
| Compliance updates | Self-taught | Part of the service |
| Cost behaviour | Fixed salary | Scales with volume |
| Physical document handling | On-site | Shared digitally |

You can. The books stay in your own software, with full documentation of the chart of accounts and procedures. We give a handover checklist and a final reconciliation, so a new in-house person can take over without losing any history.
