In Detail

Accounting Services for Doctors and Clinics: how it works and what to expect

What is specific about a medical practice's books

A doctor's income arrives from several sources: direct patients, hospital payouts, insurers, and sometimes diagnostics. Each carries different TDS and, in some cases, different GST treatment. Recording them separately lets the doctor see which source is worth the time.

Costly equipment such as imaging machines, lasers and dental chairs is bought on loan, so the books must separate principal from interest and compute depreciation correctly. A clear asset schedule also helps with insurance claims.

Clinics with pharmacies and diagnostics

Healthcare services by clinical establishments are generally exempt from GST, but sales of medicines through a pharmacy and some other supplies are taxable. Mixing the two in one ledger creates errors in returns.

We keep the clinic, pharmacy and diagnostic counters as separate cost centres, so tax is computed on each correctly and the monthly report shows the profit of each. Exemption conditions can change, so the CA confirms current treatment during onboarding.

FAQ

Frequently Asked Questions

Why is hospital TDS missing from my Form 26AS?

The hospital may have deducted tax but filed its return late, used a wrong PAN or not filed at all. We list each hospital's deductions against your 26AS every quarter and send the hospital a reconciliation request so the credit appears before you file.

Can I claim depreciation on a machine bought on loan?

Generally yes. Depreciation is claimed on the cost of the asset at the applicable rate, while loan interest is claimed separately as an expense. We maintain an asset schedule with purchase dates and rates, so the claim follows the rules and is easy to defend.

Do you handle accounts for a clinic partnership or a company?

Yes. We maintain books for sole practitioners, partnerships, LLPs and private limited clinics. Partner capital and profit-sharing are recorded as per the deed, and company clinics get statutory filings, so each structure's records stay compliant. Partner drawings and director remuneration are recorded separately from clinic expenses.

Who prepares and signs the work?

SVT & Associates is an ICAI-registered Chartered Accountancy firm. Every account is supervised and reviewed by CA Rinky Vishwakarma, Fellow Chartered Accountant, ICAI Membership No. 177507. Where a certificate or attest report is issued, it is signed by a practising CA and carries a UDIN.

How quickly can you start?

After a short consultation and receipt of your documents, onboarding usually takes three to five working days, and the first monthly books are delivered within seven days of receiving complete data. If a filing deadline is close, we handle that first and then complete the wider setup.

Is my financial data confidential?

Yes. As a Chartered Accountancy firm we are bound by the ICAI Code of Ethics on professional confidentiality. Your records are accessed only by staff working on your account, are shared through controlled folders or your own software, and are never given to third parties without your written consent or a legal requirement.

Which accounting software do you work in?

We work in your existing software, whether Tally Prime, Tally ERP 9, Zoho Books, QuickBooks or Busy, so you do not need to switch. Your licence and data remain yours at all times, and a full export of your books is available whenever you ask for it.

Are your fees fixed, and are there hidden charges?

Fees are fixed and confirmed in writing after we review one sample month of your data. Our fee and GST are shown on separate lines, and accounting has no government fee. Work outside the agreed scope, such as a backlog clean-up, is priced separately and agreed with you before it begins.

Do you serve clients outside Mumbai?

Yes. Most of our work is delivered online across India, using shared folders, your accounting software, video calls and WhatsApp. Our office is in Goregaon West, Mumbai, where local clients can meet the CA in person, but no visit is needed to start or continue the service.

Can I stop the service if I am not satisfied?

Monthly plans are not locked in, and you can end the service by giving us notice. You will receive your books, reconciliations and working papers in an exportable form. The Refund Policy linked in the footer explains how any advance payment is treated.
